Q: In your work with nonprofits, what is the biggest roadblock they face when it comes to reporting their impact?
Stephen: The reality is that most organizations are tracking great information, but it is completely trapped in separate silos. Q: Nonprofits are constantly told they need to be "data-driven." Why do you feel that phrase falls short?
Stephen: "Data-driven" was the hottest term in the world for a long time, but it can actually be awful for social impact organizations because it completely ignores the human side of the work. If you only look at numbers, you are only showing activity data, not real evidence of change.
We advocate for being data-informed. Being data-informed means looking at the whole picture. Funders and boards need more than just a spreadsheet of raw metrics. They need to see how your core numbers pair with real-world stories and community voices. True alignment happens when you can see your quantitative goals and qualitative milestones side by side in real time.
Q: Introducing a new internal process can cause a lot of anxiety for a busy team. What barriers do you see when organizations try to fix their data systems?
Stephen: The biggest barrier is always workflow disruption. When you try to bring in a new tool, staff immediately worry about a steep learning curve or an extra administrative chore added to their plate.
To overcome that, you have to protect your staff's capacity. What they are doing now isn't awful, it is just inefficient. The solution isn't to over-engineer a complex system that takes hours to learn. Instead, you have to make data entry a minor, 60-second habit. If a program manager can log a win or drop a participant quote from their phone in under a minute right when it happens, the resistance disappears.
Q: What changes for an organization when their data systems are finally aligned?
Stephen: It takes the guesswork out of leadership. When data is centralized, directors don't have to guess at what to say to a funder or a board member.
From a leadership perspective, a clear view of your numbers and narratives allows you to see exactly what is working so you can allocate your limited resources thoughtfully. On a program level, it immediately highlights where the gaps are.
